Email Marketing Checklist – Build Your Business

This Email Marketing Checklist is designed to give you a quick overview on how your business can grow using email marketing.

Whether you are a large Fortune 500 company or a solo operator reading this post while you sip your favorite coffee, email marketing can and should be a major part of your overall marketing strategy.

Email marketing allows you to convert those all-important web site visitors to real prospects. Instead of just visiting your site and going along their way to the next site, you can invite them to give you their name and email address in exchange for information they are looking for.

Then, you will be able to follow up with your prospects, let them know of any special offers, and invite them to do business with you. Here is the email marketing checklist to give you the best shot of success as you move forward:

Reinforce Your Brand

From your web site capture form to your email marketing template, make sure you are reinforcing your brand by adding your logo, your company name, and selecting the colors that coordinate with your branding strategy. You want your subscribers to recognize and welcome your messages when they are sent out. I highly recommend a custom landing page on your site so that when someone completes the form, they are taken to your web site and reminded to check their email for a confirmation message.

Craft Your Content

Remember to do the little things like proofreading and spell checking. Make sure you have a clear and compelling call to action in your messages. Make sure your content is showing value. Your reader wants to know, “What’s in it for me?” Write your messages like you are answering that question for your readers. Be sure to include your company name and contact information in your messages.

Check Your Design

Have you checked to be sure your links are all correct? Once an incorrect link goes out, you cannot “unsend” the email. Take a moment to double check your links. Proofread your messages to be sure they look good across various formats. I have email accounts set up with gmail, outlook, hotmail, yahoo, aol, and others just so I can see what my messages look like in those systems. Double check that your call to action is clear and compelling.

Check Your Results

It is important to track your open rates and click through rates to know how well your email marketing campaign is performing. By tracking these results and segmenting your list effectively, you can dramatically improve your results.

Once your letters are set up, be sure you have added signup forms to your web site or blog so people can join your list.

This article is going to focus specifically on those Affiliates who want to create 4 and 5 figure monthly residual income by referring customers, referring other Affiliates, and working with those Affiliates to create momentum.

I am going to talk about some of the mistakes I see and I am going to talk about how to fix those mistakes and create an affiliate marketing team that is dedicated to working together and making things happen.

The first thing to do is to make the decision that you truly want to learn and do what it takes to create a 4 or 5 figure monthly income. To give you some perspective, a 4 figure monthly income means you are earning at least $1,000 on a monthly basis. A 5 figure monthly income means you are earning at least $10,000 on a monthly basis. If that is what you want, I hope you are prepared to learn some things, maybe even unlearn some things, and lock in to creating success by following a simple pattern.

I want to be very clear that this article is intended for leaders. Leaders are focused on creating results. They take responsibility for their own actions and they take responsibility for making sure their team has access to the information they need to be successful. We cannot force anyone to follow our example or our instruction but we can make sure that we are providing the right example and making the instructions available.

So, what are the basic things that should be happening if you want to truly create significant income as a TrafficWave Affiliate?

Use The Tools! Sounds pretty obvious, right? But I see a lot of folks who have signed up and are not even using their autoresponder tools. This is almost a sure-fire guarantee for failure in any affiliate marketing system.

Why should you be using your tools?

Be Smart. Make that 60 cents a day expense pay for itself by using your tools to generate more leads for your business. Follow up with those leads and generate more sales. How many sales do you need to make in your business to cover $17.95 per month? Get that done, first, so you aren’t thinking about “How do I pay for my TrafficWave.net account?”. If you are selling TrafficWave to other businesses, the answer is “3”. You need 3 sales to earn enough in monthly commissions to cover your $17.95 subscription.

Be The Example. When you are building your prospect lists, following up, and closing more sales, you are considerably more qualified to teach your team how to do the same in their own business. When someone says, “This doesn’t work.”, you can honestly tell them, “Sure it does. I’m getting results every day. Let’s look at how we can improve your results.” And then you are able to work with them to show them how it is done.

Improve Retention. When you have people in your team who are USING the tools, their business is going to grow. It will be very easy for them to see how much sense it makes to spend 60 cents a day on powerful marketing tools. Show them how to get results in their business and they stay. Simple.

All of this has to do with your referrals from the customer perspective. By teaching your referrals how to USE the tools, you are teaching them how to make more money in their business and they are going to WANT to stay with you. It will just make good business sense.

So, now, let’s look at this from the affiliate marketing perspective. How do we help our Affiliates make the most of this system to create additional income?

Use The Tools. Sound familiar? Think about this for a minute. You are using these tools to build prospect lists for your business. You are using these tools to communicate with those prospects and covert them in to paying customers. You are communicating with your customers to turn them in to repeat customers. Do the same thing with your Affiliate team in TrafficWave.net!

Set up at least 1 campaign to generate leads for your TrafficWave business. These are people who own businesses, are involved in network marketing, are involved with affiliate marketing, etc… They need to be using these tools to grow their business. AND, since they are business people, it makes sense that they would want to open up an additional income stream by referring other businesses through their Affiliate URL.

Set up at least 1 campaign to train and support your Affiliates. Share your successes. Celebrate the successes of others on your team. Invite your team to our regular webinars.

Answer your emails. I receive daily complaints from new users about a sponsor that won’t reply to an email. If you aren’t going to be available to answer questions and help them find information, they are going to leave. That’s not designed to be “mean”. It’s just a fact of business life. When someone joins you, they don’t know anything. They are saying, “I trust you enough to try this.” Teach them how to be successful at affiliate marketing by setting the example and providing the information they need.

Teach your team members how to build their own lists. I see a lot of “team builds” that are set up to help the team leader quite a bit but lack the information and support to create strong independent team members.

As a team leader, ask yourself this question:

Do I want a team that is relying on me to build for them or do I want a team of people working together for their individual and mutual success?

Think about this: If you have 300 people relying on you to generate sales for them, you are going to get tired, worn out, frustrated, and experience a LOT of people giving up. BUT … if you have a team of 300 people all experiencing success because they are USING the tools to build their lists and generate more sales, you will still experience some giving up but you will also experience incredible growth and momentum as your team approach creates strong individuals applying these simple strategies in their own businesses and in their TrafficWave accounts.

When I used to coach basketball, we focused a lot on helping each individual become the strongest, fastest, and most efficient basketball player they could be. We focused on ball handling drills, shooting form, offensive strategies, defensive strategies, and conditioning. Those individuals that worked on their skills found themselves playing in the games and working together as a TEAM as each member combined their individual efforts and talents to win games. We won a lot of games, together. We lost some games along the way. We won Nationals championships. Not a single one of my players ever asked me to shoot the ball for them in the game. They each learned the skills and they each took their shots. Prepare your team members to do the same. Help where needed but always focus on making your team strong by equipping them to effectively use these tools to create results in their business.

What Is an AutoResponder?
Do You Really Need One?

what is an autoresponderHave you ever wondered, “What is an AutoResponder?” Most people are familiar with autoresponders that send out those automated “I’m away” or “I’m on vacation” messages. Most web hosting and email providers refer to these autoresponders as “away” or “vacation” settings within their email programs. These are good for a quick one shot automated reply to let someone know that you got their message or that you are away and will be returning to reply later.

However, if your needs go beyond simply sending a one-time message, it may be time to look in to what is known as the Sequential Followup AutoResponder. This type of autoresponder is much more robust and includes a number of powerful features that are starting to be adopted by businesses and organizations from around the world.

Think of an autoresponder as an email-on-demand system. Any time your autoresponder receives a request via email or a form, it can automatically respond with whatever information you have loaded in to it.

  • You can also set up special offers that your autoresponder can broadcast out to your subscriber lists whenever you like.

Autoresponders that send sequential follow-up messages are being used by more and more professional online marketers.

Some of the important features you want to look for when asking What Is an Autoresponder are:

  • The ability to create, store, and send as many letters as you need.
  • The ability to personalize each message by inserting the recipients’ name and other personalization features.
  • The ability to send your messages in both plain text and html.
  • The ability to track the response rate of your messages.

There are basically two options for getting an autoresponder. One option is to purchase autoresponder software that you would install or have someone install on your server. If you are technically adept, enjoy messing with software installation, and are prepared to spend time managing bounces, changing email protocols, and various technical issues that will inevitably arise, this can be a good option.

If, however, you prefer to focus on the actual job of marketing, creating messages, and running your business, you may be better served by using a hosted autoresponder service. When you go with a hosted autoresponder service, it is the job of the autoresponder company to make sure that hardware and software issues are kept up with, as well as manage the ever changing landscape of email marketing legislation. Most businesses prefer to pay a reasonable monthly fee so that the technical wizards can focus on the technical requirements while they focus on their business.

Once you’ve decided on an autoresponder service, your next step is to create the messages that your autoresponder will send out. I recommend creating 5 to 7 followup messages since marketing studies have shown that it can take up to 7 contacts before your customer decides to purchase from you.

Effective use of a followup autoresponder can help any business maximize their profits by capturing visitor information and then helping to convert those visitors in to customers.

Many businesses, after using autoresponders, quickly wonder how they ever got along without them.

If so, good for you! Many successful mlm professionals know the profit is in the list so they build and nurture their lists. Chuck Holmes says, “I would give up my own downline and web sites before I gave up my auto-responder and my list.”. We think that’s pretty smart. We have all seen companies that fell by the way side. Starting over can be challenging. Starting over with your own targeted list that you have nurtured and built a relationship makes it much easier.

The simplest way to think of an autoresponder is to think of it as a system that manages your email list. When visitors to your web site fill out the form asking for more information, they are added to your list. Your autoresponder then follows up with those prospects, sending message whenever you like. If someone decides they are not interested, they click a link and your autoresponder removes them for you.

Start With A Prospect List: Your starting point would be to begin building a list of prospects. You would set up this campaign to generate leads from your web site visitors. This campaign would follow up with your prospects, helping you sort through to find customers and potential distributors. This campaign might include things like:

  • Messages explaining the products and services.
  • Messages explaining the business.
  • Answers to Frequently Asked Questions
  • Testimonials
  • Any special offers
  • Your regular newsletter

Set Up A Customer List: This list is for folks who purchase your products or services, regardless of whether or not they join your distributor team. You can send your customers special offers, announcements, etc… When your company offers a new product, a discount, or combo pack, you can let your customers know it is available by sending your email to this list. This campaign might include things like:

  • Emails training and informing about products and services
  • Answers to Frequently Asked Questions
  • Your regular newsletter
  • Special offers, discounts, seasonal offers, etc..

Set Up A Distributor List: As people join your downline, this is the list you would use to train, support, update, etc… This campaign might include things like:

  • Training emails
  • Regular tips for new distributors
  • Answers to Frequently Asked Questions
  • Updates on conference calls, training events, etc..
  • Your regular newsletter
  • Team announcements such as rank advancements.

  • Don’t overhype your offer. Educate your prospects. Offer value so that your subscribers come to know you as an expert in your field.
  • Be patient. When someone subscribes to your list, they are saying, “Let me see what you’ve got”. They are not saying, “Sign me up”. We have seen some prospects buy or join many months after subscribing. Having an automated system in place means your mlm autoresponder will send your messages automatically. Your prospects won’t forget about you if they are receiving regular valuable updates and content.
  • Recognize that most people who subscribe probably won’t end up joining. It’s still about the numbers. When the time is right for them, they will have seen your information, received your follow up messages, and fill feel more like they know a bit about you and WANT to work with you. The rest will fall away or remove themselves from your list.

How I Built a List of 3200+ with a Hosted Capture Page

Some of our affiliates have recently asked me for more list building tips and how to generate leads and get more referrals. I wanted to show you my own personal results using the 30 Minute List Building Challenge I created a while back.

The 30 Minute List Challenge is a guide to show you the basics of how to get started building an email marketing list, even if you have never built a list, before. You can use these same techniques to build any list to promote any offer. This is simply a great way to get started quickly and to show your referrals how to do the same.

I got the results I’m going to show you by doing all the stuff I talk about in the blog article: Email Marketing Results.

  1. I created my letters.
  2. I created my capture page.
  3. I started promoting my capture page.
    From there, the system took over and I continued to focus on #3 … promoting my capture page. I had campaigns that didn’t work. I had campaigns that worked very well. I had campaigns that got very little results. I focused on the campaigns that worked very well.

I want to point out that I did not create a web site for this offer. I created a Hosted Capture Page in my back office. The whole set up took just a few minutes after I got the letters written.

The results, so far, can be seen here from just one of my campaigns:

This particular campaign has generated over 3,200 leads (and counting)! As with any offer, some of those leads have purchased and some have not. I continue promoting this capture page and I am testing other marketing channels to get even more results.

The other day, I recycled my finished leads, and got even more sales along with a few more questions about the system.

Email Marketing Single Optin vs Double Optin

email marketing single optinEmail Marketing Single Optin simply means that someone can enter any information in to a capture form and they are automatically subscribed and/or given access to the free ebook, software, etc… that is being offered.

Email Marketers are constantly debating the worth of single optin vs double optin when it comes to building their lists.

Double optin means that once the form is submitted, the person will receive an email asking them to confirm their request. Typically, the confirmation is accomplished by having the subscriber click a uniquely coded link.

The most common argument for using the email marketing single optin method is that some email marketing practitioners believe it helps build a larger list.

The claim is that people are unlikely to take that extra step to click a confirmation link so you could end up losing out on potential prospects.

The most common argument for using the double optin method for email marketing is that email marketers want to know that the prospects they are generating are:

1) Real humans that read their emails.

2) Genuinely interested in receiving the information being offered.

Someone using the single optin method may think that they have 5,000 prospects in their database but may actually have somewhere around 3,000 because 2,000 are nothing more than junk emails, spam traps, or bots.

While 3,000 prospects is nothing to take lightly, consider that if 2,000 of those addresses are not valid, that means the ebook, software, download, etc… that was being offered has essentally been stolen if you did not ask those prospects to confirm before receiving your offer.

Another big issue to consider is deliverability.

If your list is cluttered with unknown or garbage email addresses, this can have a negative impact on your overall deliverability. Many email service providers will begin blocking domains that are known to repeatedly send to email addresses that don’t exist. Over time, this can result in your messages not being delivered to the real prospects that you do have. What good are those real prospects if your message can’t be delivered to them?

Some proponents of email marketing single optin hold the position that it doesn’t matter since email marketing is so inexpensive. “Why should we care if some of the email addresses in our list don’t really exist? Email marketing is so cheap anyway.”

This is a flawed perspective. Those bad email addresses could be costing you more than you realize.

Not only is your deliverability affected, meaning that your message may not be getting through to even the good email addresses, but you may be overpaying your autoresponder service provider.

AutoResponder companies like Aweber, GetResponse, Constant Contact, iContact, etc… charge on a sliding scale meaning the larger your list, the more you will pay each month.

When their system looks at your account, they see the total number of prospects. So if you have 5,000 records but only 3,000 are actually deliverable, you are paying too much.

The idea behind using technology like autoresponders and email marketing should be to help your business increase sales while reducing expenses. Using single optin to build your email marketing lists could cost you not only in efficiency but also in your pocketbook.

Email Marketing is Dead?

email marketing is deadIt seems like every time you get on Facebook, twitter, etc… you see some “guru” claiming that email marketing is dead. We’ve been doing email marketing since 2000 and we know that not only is email marketing not dead, it is alive and well and growing in a big way.

Recently, I had someone trying to convince me email marketing is dead. He offered me his free report that would prove it. How could I get the free report? All I had to do was go to  his capture page and fill out his capture form. His autoresponder would then send me the details and follow up. “So, you’re using email marketing strategies to prove to me that email marketing is dead?”, I asked.

Companies who rely on email marketing know how very effective email marketing can be and are happy to see the positive Return On Investment (ROI). Millions of consumers prefer to receive marketing via email. We believe it is safe to say that email marketing is not dead. If anything, it is booming.

Take a look at these facts:

So we have to scratch our heads a bit every time we see the claim that email marketing is dead. We know better.

But there are marketers who are not using email marketing effectively. This may lead them to believe that email marketing is dead. We want to help.This guide is designed to show you how to use email marketing effectively in your business.

Ready to get started? Keep reading to see why we do NOT believe email marketing is dead:

Step 1: Start Right with the Sign-Up Process. 

Someone has given you their email address. This means they are inviting you in to their inbox. Something about your offer on your capture page or web site was compelling enough that they are telling you, “Yes. You can have some of my time and some of my inbox space. What have you got for me?” This is where your real job starts, email marketing professional. Make sure you deliver on what you offered.

After they sign up, make sure to be clear about what they can expect from you. We recommend setting up a custom landing page on your web site or blog that:

  • thanks them for subscribing
  • reminds them to check their email for a confirmation message
  • recommends they add your email address to their address book so your messages don’t end up in the spam folder.

As soon as they submit the form, they should see your landing page with the above information. The next thing that they will do, when they check their email, is to get your confirmation message. Rather than using a default system confirmation message, create a custom confirmation message that reminds them what you are going to be sending them, and reminds them to click the confirmation link.

Step 2: Know Who You Are Emailing

It is important that you consider WHY someone joined your list. What is the pain point you will be helping them with? When you first start out, your subscriber may see you as a faceless email address trying to pitch them. Let them get to know you a little bit.

Start your messages with something that lets them know you can relate to their pain or need. Maybe you’ve experienced it yourself and found the solution. When your subscribers feel like they can relate to you, they are more likely to open, read, and respond to your email marketing messages.

Step 3: Know Why You Are Emailing

Be specific about your email marketing messages when you write them. Is your goal to sell something? Get more information? Provide education and training? Get referrals? Know exactly what your message should accomplish so you can create a clear call to action in your message.

While your overall goal is to increase sales, each email you send should have one clear goal. The message should be written to reinforce that goal and should be designed to get your reader to take the desired action. For example, if your goal is to get your subscriber to attend an upcoming webinar, that should be the only call to action in the message. Don’t include multiple other offers and calls to action. This will only serve to confuse and alienate you reader. By focusing your email marketing message on a single call to action, you will be able to direct your reader’s attention to your desired outcome.

Step 4: Let Your Readers Know Why You Are Emailing

This brings us to the subject line of your email marketing. The question you have to answer before you get started creating your email marketing message is: “What will my reader get by opening this message from me?” If you do not know how to answer that question, stop. Think about it. You need to offer your readers an immediate benefit to opening and reading your email. Focus on the benefit. Solve a problem. Here is an example:

**FIRSTNAME** – Open this message and start learning more.

or

**FIRSTNAME** – Open Now and Grow Your Business!

The second subject line gives a benefit: “Grow Your Business” and is going to appeal more than “start learning more”.

But … and this is important … be “real”. Making outrageous claims will result in unsubscribes, or worse: complaints. Build trust and rapport with your readers by keeping the benefits authentic and clear.

Also, note the use of the name tag (**FIRSTNAME**). Personalizing your subject line can have a big impact on your open rate. Your subject line is the first thing your reader sees. Get their attention by using their name to improve your open rate.

Step 5: Know Your Preview Line

Did you know that the first sentence in your email can impact your open rate? If you are using gmail, for example, take a look through the subject lines that appear in your inbox. You may notice that some subject lines give more benefits than others, some have personalization, and some include an opening sentence.

Ask yourself if that opening sentence makes you want to open the message to learn more. If it does, then that author has done well. If not, they need to do better. Spend a little time deciding what your opening sentence will be since many of your readers will see that along with the subject line.

Step 6: Get To The Meat 

So far, we’ve focused on the signup process, personalization and creation of a strong subject line, and your opening sentence. The next part of your message is the body of your message. Once they open your message, you need to draw them in and deliver on the benefit you promised in the subject line.

If you are struggling with what to write in your message body, refer to the subject line and put your call to action in the message. Then fill in the gap between with your content. Write your content so that it bridges the connection between your subject line and your call to action. Be keeping this in mind, you will build a reputation with your readers that shows you deliver on what you promised.

Keep your emails brief. Don’t overwhelm your readers with too much information. Keep it as “conversational” as you can. Try to imagine sitting across the table from your reader as you write your message.

You should be able to get your message across in a few paragraphs. If not, maybe provide a link in your message that lets your readers click through to your blog or web site to read more.

Once your message has delivered on the benefit you offered in the subject line, close our your message with a clear call to action that will take your reader to your desired goal.

Step 7: Close The Deal

After everything you have been through to get these subscribers to join your list, confirm their interest, open your message, and then read your message, the way you close your message could have a massive impact on your overall effectiveness.

Your next move is to be clear about your call to action. Let your reader know exactly what they should do next and why they should do it. If there is a time limit, let them know.

Here is an example call to action:

This call to action has two benefits (the “why”):

  • Free 30 Day Trial
  • Start Building Your Business

and it tells them to “visit this page” (the “what”).

The reader knows exactly WHAT to do and WHY.

Note: We didn’t use “click here” as the link because many of the big email service providers will send messages to spam with that link.

As a general rule, include your call to action twice in your email if your message is longer. A call to action in the middle of the message and once again at the end works well. If your message is short, your call to action at the end should be fine.

A shorter message can have your call to action appear on the screen without the reader having to scroll down. We call this appearing “above the fold” and it can have an impact on your click through rates.

How Content Affects Deliverability

deliverabilityContent can absolutely affect your deliverability! Many ISP spam filters will automatically review your email content & subject line to determine if it is spam. There is no magic rule or formula that you can follow to guarantee emails are delivered to the inbox, but you can exercise a little common sense and follow some simple guidelines to help your email marketing message get to the inbox.

It is a good idea to check back here frequently. We will be updating the article as we gain more insights and experiences.

  • Keep your subject lines between 35 to 50 characters long. The longer your subject line, the more likely it will be flagged as spam.
  • Don’t use ALL CAPITALIZED LETTERS in your subject line or body.
  • Avoid sending messages that have only a single large image. Have a good balance of text and images. The more text you have regarding your images, the better.
  • Make sure there are no spelling mistakes or HTML errors.
  • Avoid using spammy type words such as ‘money’, ‘free’, ‘dollars’, ‘cash’, ‘limited time offer’, ‘medication’, or ‘pornography’.
  • Avoid common spam tactics like using a dollar sign($) for the letter “s”.
  • Limit the use of ‘click here’ links.
  • Minimize the use of bold text, red font, exclamation points (!!!), questions marks (?) and symbols like $ € £ @
  • Make sure your content is relevant to your offer and helps build rapport/credibility with your subscribers. Emails that are constantly off-topic and are nothing more than constant ads will impact deliverability and reception by your subscribers.

When we find autoresponder campaigns with messages that violate these guidelines, we may suspend the campaign until the issues are corrected. This will help us to make sure our focus is on helping responsible email marketers continue to experience outstanding deliverability rates.

How I Build My Email Marketing ListsHave you found yourself wondering how I build my email marketing lists?

A lot of folks ask me for the “hidden secrets” to how I build my email marketing lists and the reality is: There Is No Secret!

List building is a key component to online marketing success. It seems that every time I turn around someone is offering a “new” technique or revealing the “secret” to list building. They seem to come up with all these steps and requirements as if there is some big unknown secret out there but my own experience since the year 2000 has shown me that simple methods work really well.

As an example, I focus on three keys:

How Is Your Email Marketing Open Rate? Can it be improved?

email marketing open rateAccording to a recent study from Pew Research, email is the most important tool for work, 61% of those surveyed consider email “very important” to doing their job, compared to just 4% who said the same for social networking sites like Twitter, Facebook, or LinkedIn.

According to a report from Epsilon, in Q3 2014 in North America, email marketing open rates were up 6.5% year-over-year (though click rates were slightly down) thanks to mobile device usage.

Mobile seems to be having an even greater impact on open rates in the UK. eMarketer points to Return Path research from December finding that 62% of emails were opened on mobile devices compared to 21% on desktop. In the U.S. it was 48% from mobile compared to 25% from desktop.

email marketing open rateSo the challenge for email marketers comes down to making sure we give ourselves the best shot at getting a solid open rate when we send our messages out.

Here are some tips taken from WebProNews:

Start with the subject line.

Forbes suggests keeping the subject line to 50 characters or less, instilling a sense of urgency, and focusing on the benefit to readers, as well as using numbers (5 Tips to…), personalizing the “from” Field, and of course avoiding spam triggers.

Naturally, you’ll also want to look at which of your emails are already getting the best open rates and analyze accordingly.

Be sure you are serving your subscriber:

“To win the battle of the inbox, emails need to stand out and be welcomed — open rates will tell you who’s winning,” says email marketing service provider StreamSend. “Step back and judge if you are providing information that is genuinely valued. Sometimes even the best marketers are guilty of drinking their own Kool-Aid; don’t be one of them. Serve the customers.”

One word could make the difference.

Sometimes, the addition, subtraction, or change of a single word can make a huge difference. According to BrainShark, simply using the word “video” in a subject line boosts open rates 19% (not to mention click-through rates by 65%).

Focus on proper list management:

Make sure you are tracking your open rates, using personalization, creating enticing subject lines, and providing content that is valuable to your specific market.

First impressions matter:

email marketing open rateCakeMail’s Mireille Tessier makes a great point about considering the first sentence in the email: “The email’s first sentence, also known as the pre-header text, appears often even before the email is opened. It’s a good way to extend those confining 25 characters in the subject line with complimentary information. Make sure the first sentence of your email says more than, ‘Click here to unsubscribe.’ If the first item in your newsletter is an image, the ALT of the image will be used as the first sentence. It’s a stealthy way to have great pre-header text that disappears like magic.”

Be relevant:

“Customers who have given you their email contact information want to feel like they are getting something of value in return for sharing their information,” she says. “Chances are, 10% off of a dinner or a free dessert is not going to get people off the couch to take action. Create consistent offers and content that are specialized and only for your email database members. Discounts of 20 percent or more, invitations to free events or demonstrations, webinars, free business tool kits (whitepaper, downloadable forms, etc.), case studies and free trial offers tend to have the biggest response rates.”

Make it personal:

Personalization is a major component of a successful email campaign. You have to do things that will make your message stand out from the rest of those appearing in users’ inboxes. Location is one, possibly under-utilized aspect of personalization. Location also happens to go hand-in-hand with mobile.

One approach to improving your email marketing open rate is to combine location with real-time events.

“Real-time email marketing campaigns based on consumers’ current locations and major geographic events have 2.5 times more open rates and double the amount of unique clicks than traditional email campaigns,” claims Jason Warnock, VP of market intelligence and deliverability for Yesmail Interactive.

Timing, in general, is a big thing that often goes overlooked. You need to consider when your audience is most likely to be reading email, and try to time delivery accordingly. Often, early in the day is the best bet, though it does depend on the audience. Still, even well-timed messages can slip through the cracks.

Repeat Yourself:

Neal Taparia co-CEO and co-founder of Imagine Easy Solutions recently contributed an article to Forbes based on the concept that email should be about unique reach, not just open rates. He suggests sending follow-up emails to those who didn’t open the first email. The thinking here is that this will help you reach those who may have actually been interested in the message, but just didn’t get a chance to open it the first time.

“Have you ever seen an interesting email in your inbox and thought to yourself, ‘I’ll read that later’? You leave it unread with every intention of eventually opening up that email,” he wrote. “Then later that day at 7:47 PM, after dinner, you catch up on email from friends, and start reading the various newsletters that have sprung up in the top of your inbox. Did you ever get to that email? Despite the fact that you made a mental note that you wanted to read it, chances are you didn’t. You got distracted by all the other emails that landed in your inbox. You were probably also distracted by your Twitter, Facebook, and LinkedIn feeds, and very important group chats on WhatsApp.”

This is certainly a common scenario, though as he acknowledges, you do run the risk of annoying subscribers with follow-up emails. Still, the strategy appears to have worked for his company. They increased overall reach by 54.7%.

“To put it in perspective, all the hours of investment dedicated to this content piece and email became 54.7% more effective,” Taparia wrote. “We were able to nurture 54.7% more leads. More importantly, we increased our sales potential by 54.7%. We did this just by investing another 50 minutes in sending out a second email to those who didn’t open up the first.”

In the example he discussed, they sent the first email to 2,723 people, got 579 opens and 224 call-to-action clicks for an 8.2% click-through rate. The second email (again, sent only to those who didn’t open the first one), got 309 opens and 114 clicks. Unique opens between both emails were 32.6%.

Taparia noted they were concerned about annoying people who had seen the original email and deleted it, and that to address this, they send a second email a week later with minor changes. The unsubscribe rate has apparently stayed in line with the norm, though he does suggest trying to get a sense, based on your own list, of when a follow-up email is one too many.

There is no magic button to improving your email marketing open rate:

As much as we like to think there is an exact science to this, there’s really not. If there were, there wouldn’t be a need for advice on the subject. Everyone would just have all of their emails opened. There are so many variables and factors to consider that you really have to pay close attention to your own audience and how they engage with your campaigns. The best thing you can do is develop a more detached/analytical eye, and continue to test and tweak. That assumes you have the content to warrant the opens in the first place.

The good news for email marketers is that email as a medium is as relevant as ever. It’s 2015, and much of the industry chatter is about how everyone is starting email newsletters. Opens are on the way up as mobile is now the norm, and that means there is plenty of opportunity to get your emails read and engaged with. There may be new challenges (Google Inbox, anyone?), but that’s always been part of the game, and it always will be. The bottom line is that this is a pretty good time to be in email marketing.
